The Accounts & Payroll Executive ensures Instamedia’s internal finance operations run smoothly — from payroll processing to payment tracking and basic accounting documentation. You’ll manage payables/receivables coordination, staff payroll administration, and maintain clean records for management reporting and external accountants.
Key Responsibilities:
• Process monthly payroll (salary, allowances, OT calculations, deductions, claims)
• Maintain employee payroll records (EPF, SOCSO, EIS, PCB/MTD where applicable)
• Track attendance/OT inputs with Operations/HR and ensure payroll accuracy
• Prepare payment schedules for vendors/suppliers and coordinate timely payments
• Track incoming payments from clients and follow up on outstanding invoices
• Issue invoices/receipts and update payment status (e.g., QuickBooks or internal tracker)
• Maintain proper documentation for all transactions (POs, invoices, receipts, remittances)
• Work with external accountant on monthly closing items and supporting documents
• Support basic admin tasks related to finance (petty cash, reimbursements, claims)
Requirements:
• 2+ years experience in payroll / accounts admin / finance operations (preferred)
• Strong attention to detail — accurate with numbers and documentation
• Familiar with EPF/SOCSO/EIS processes and payroll best practices
• Comfortable with spreadsheets (Google Sheets / Excel) and basic accounting tools
• Bonus: experience with QuickBooks, SQL payroll systems, or HR/attendance tools
• Responsible, discreet, and able to handle confidential salary/payment information
