Dinner and Dance in Singapore: Activities for Each Stage of the Night

A company dinner and dance, usually shortened to D&D, is the annual staff dinner in Singapore: a seated dinner with speeches, awards, games, a lucky draw and dancing. Most are held in the last months of the year, and some run into Chinese New Year. A dinner and dance event company or your own organising committee usually handles the venue, menu, emcee and band. This guide covers the interactive layer on top of that: what guests do at each stage of the night, what it costs in Singapore dollars, how much lead time it needs, and how to choose an activity company.

We are Instamedia, a creative-tech company in Kuala Lumpur. We build photo booths, interactive games and screens for corporate events and deliver them to Singapore with our own crew. Every example below comes from a Malaysian event, and we say so each time. For theme ideas, see our post on annual dinner theme ideas from real Malaysian corporate events.

What to run, by stage of the night:

  • Arrival and cocktails: a photo booth that prints on the spot.
  • Dinner: two stations, so no single queue builds up.
  • Awards: a glass booth where colleagues sign the moment.
  • Speeches, games and the lucky draw: a shared screen the room adds to.
  • After-party: karaoke and AI portraits for guests who are not dancing.
  • Going home: one printed keepsake per guest.

1. Arrival and cocktails: a photo booth that prints on the spot

Guests do not arrive together. They trickle in, queue at registration and wait with a drink until the dinner hall opens. Nobody is competing with a stage yet, so this is the easiest stage to fill.

Three guests at the AIA Digital Annual Dinner in Malaysia hold newspaper front-page prints headed Year End Staff Dinner beside the photo booth

At the AIA Digital Annual Dinner in Malaysia, our newspaper photo booth printed each guest's photo as a branded A4 front page, headed Year End Staff Dinner. It produced 140 pages in a day, and each print came out in under 15 seconds, fast enough to keep a queue moving.

Put the booth where guests wait, near registration or the cocktail area, not inside the dinner hall. Match the print to your theme: a front page for a Roaring Twenties night, or a retro look from our vintage photo booth for a disco night.

What fits: an Instabox, an AI photo booth or an Instabooth 2.0.

2. Dinner: spread the queue across two stations

Once guests sit down, booth traffic rises and falls with the courses, and a single station backs up at the peak.

The HAYS Year End Party at PARKROYAL COLLECTION Kuala Lumpur ran two stations in one event space. An Instabooth 2.0 print station produced 478 prints across 146 sessions. The second station, an Unveil Glass Booth, where guests draw and sign on glass with fluorescent markers, recorded 106 videos. The project page notes that this split the 7 pm to 8 pm dinner rush across two queues instead of one.

The glass booth's clips also played as a live slideshow on the LED wall, so the rest of the room could watch each new clip arrive.

Two rules for this stage: keep stations clear of the service routes, and agree with your emcee when stations pause so they never compete with a speech.

What fits: two stations, such as an Instabooth 2.0 and an Unveil Glass Booth.

3. Awards: a glass booth for signatures and shout-outs

The awards segment is a long stretch in which most of the room watches instead of takes part. A glass booth gives the people who are not on stage a way to join in.

Video still from the glass booth: a guest signs MGAN in glowing ink inside a Havana-themed frame

At Maybank's Group Awards Night in Malaysia, our Unveil Glass Booth let guests draw and sign on an illuminated glass pane with fluorescent markers while a camera recorded them. The clips replayed on LED screens inside animated frames styled to the night's Havana theme, and each guest could save their own video by QR code. The booth recorded 396 videos over a six-hour event, and the project page notes that it drew guests during the cocktail hour and after the ceremony.

For a D&D awards segment, use it as a congratulations wall: winners and their teams sign a message, and the clips play on the big screen between categories. Agree with your AV crew early where those clips will play.

What fits: an Unveil Glass Booth, quoted to your brief.

4. Speeches, games and the lucky draw: a shared screen

Stage changes, speeches and the lucky draw leave most of the room waiting. A screen that fills with guests' own contributions gives them something to do and something to watch.

A hand taps a growth symbol, butterfly, flower or mushroom, on a KWAP iPad station with a garden scene glowing on the screen above

At the KWAP employee appreciation event in Malaysia, staff picked a butterfly, flower or mushroom on an iPad station, coloured it and added a note. A moderation dashboard let the team control what appeared on a large LED screen, so only suitable content reached the wall. 294 people took part across eight hours.

Dinner and dance games work the same way. If your crowd would rather compete than create, our game library has 18 ready-made games that we restyle to your brand, and most of them also run online on web and mobile with no hardware. For a big-screen game, guests scan a QR code on the screen, use their phone as the controller and play with no app to install. See our interactive kiosks and walls for Singapore, or our interactive wall and projection mapping page for larger builds.

What fits: a message wall or phone-controlled game built to your brief, or a branded game from our library. Your venue's AV supplier usually provides the screen, and we coordinate with them on resolution, load-in and power.

5. After-party: karaoke and AI portraits for guests who are not dancing

After the formal programme, part of the room dances and part stands at the edge. Two formats give the second group something to do.

Karaoke booth screen showing guests singing at microphones with on-screen lyrics at the Maybank Tiger Summit in Malaysia

The first is karaoke. At the Maybank Tiger Summit, an executive summit in Malaysia, guests stepped into a small studio booth, sang a Maybank song with the lyrics on screen, and received the performance as a personal video by QR code. Singing in a booth rather than on a stage lowers the bar for joining in.

The second is an AI portrait booth. At Microsoft's stand at Tec D Exchange 2025, a technology event in Malaysia, guests chose one of four character styles, including anime and techwear, and the booth produced 746 prints over nine hours. A custom AI style takes 48 to 72 hours to build, so it can follow your theme, such as retro or red carpet.

What fits: a karaoke booth, quoted to your brief, or an AI photo booth.

6. Going home: one keepsake per guest

Decide what guests take home before the night, not during it. A print plus a QR download covers most needs: guests keep something physical and can post a digital copy.

Collage from Samsung's watch party: a flower message drawn on a foldable phone, the Galaxy AI start screen and printed postcards beside a watch

For a smaller, seated dinner, the keepsake can come to the table. At Samsung's watch party at S&W Restaurant in Suria KLCC, Kuala Lumpur, we built a custom app that ran on Samsung's Galaxy Z Fold8. Guests designed their own postcard on the phone, and it printed at A6 size to take home. The project page describes a dining-room setting where guests collected the print from the table.

Put your company name and the occasion on the print so it reads as the D&D souvenir. The AIA front page in section 1 does this with its masthead and headline.

What fits: an Instabooth 2.0, which includes unlimited prints, or a custom postcard app.

Lead times: when to book

  • Ready-to-deploy formats: under two weeks for an existing photo booth style or a game from the library, and rush jobs are possible. Every build is tested in Kuala Lumpur before transport and permits are arranged.
  • AI styles, overlays and game skins: 48 to 72 hours to build once the brief is agreed.
  • Built structures: 2 to 6 weeks, for custom booth builds and bespoke work, before transport is arranged.

Fix your venue and date first, because year-end dates go early. Then send us the date, venue and guest count, and we will recommend what to run at each stage.

How to choose a dinner and dance activity company in Singapore

A dinner and dance event company usually manages the whole night: venue, theme, emcee, entertainment, AV and the run sheet. An activity company supplies one layer of it, the booths, games and screens that guests use. Many teams hire both. Some committees run the rest themselves and hire only an activity company.

Instamedia is an activity company, not a full-service D&D organiser. We build and run the interactive layer: the booths, games and screens. The venue, catering, emcee and band stay with your event company or committee. We build in Kuala Lumpur, and our own crew delivers and runs the work at your venue. We have no Singapore office. We work alongside your event company, or directly with your organising committee. Whoever you choose, ask these questions:

  • Who builds it? Ask whether the company builds its booths and software or rents them in. We have built ours in-house since 2012.
  • What does the price include? For a company based outside Singapore, ask who handles transport, permits and the customs carnet, and whether setup and crew are in the quote. Ours are all-in.
  • What have they run at events like yours? Ask for photos and counts from dinners and awards nights, not only trade shows. We have run more than 6,000 activations since 2012, including 1,625 in the last three years, and we are rated 4.9 on Google from 71 reviews. Every example in this post is from a Malaysian event. In Singapore, our work includes the Leica 100 quiz at the opening of Leica's Singapore flagship store.
  • How does it fit your run sheet? Ask where each activity sits in the programme and who pauses it during speeches. Share your run sheet with us and we plan around it.
  • What can change late? Software changes such as an AI style or overlay take 48 to 72 hours. Built structures take 2 to 6 weeks, so lock those first.
  • What do guests take away? Ask about prints and downloads. Our booths print on the spot and share by QR code, with no app or login.
  • What does the venue need to provide? Confirm floor space, power and load-in times with your venue early, and ask what it requires from outside suppliers.

If your dinner is a client or partner event rather than a staff one, the same activities work as brand activations. See how we run those in Singapore.

Frequently asked questions

What activities work at a dinner and dance in Singapore?

Match one activity to each stage of the night. A photo booth that prints on the spot suits arrival and cocktails. Two stations or a glass booth suit dinner and the awards. A shared screen suits speeches and the lucky draw. Karaoke or an AI portrait booth suits the after-party, and a printed keepsake closes the night.

How much do dinner and dance activities cost in Singapore?

Our Singapore prices are all-in, with delivery from Kuala Lumpur, setup and an on-site crew included. Instabox starts from S$1,200 and AI photo booths run S$1,550 to S$2,450. Instabooth 2.0 starts from S$1,950, branded games run S$2,100 to S$2,700, and custom IN:FRAME formats run S$2,600 to S$7,950. We confirm the quote in SGD.

How far ahead should we book a dinner and dance activity?

Book as soon as your date and venue are fixed. A ready-to-deploy format can be ready for Singapore in under two weeks, and rush jobs are possible. A custom AI style, overlay or game skin takes 48 to 72 hours to build, and a built structure takes 2 to 6 weeks. Year-end is the busy season, so earlier is safer.

Do we need a dinner and dance event company as well as an activity company?

Not always. A dinner and dance event company usually handles the venue, theme, emcee, entertainment and run sheet. An activity company adds the booths, games and screens guests use. Many Singapore teams hire both. We work alongside your event company, or directly with your organising committee if you run the evening yourselves.

Do you have a Singapore office?

No. Instamedia is based in Kuala Lumpur and has no Singapore office. Every booth is built and tested in Kuala Lumpur, then our own crew delivers it, sets it up and runs it at your venue. Singapore quotes are in SGD and all-in, so delivery is already in the price.
